The listing compliance checklist

Every listing carries a checklist: signage, distribution, the active package of documents, and the marketing you promised the seller. Compliance is where you work it.

Three views of the same checklist

  • On a listing: open the listing and pick the Compliance tab. Items are grouped by category, with the 18 Active Package documents nested under it.
  • Portfolio: Listings, then Compliance. Every listing's percentage, what is missing, and a click through to fix it.
  • Grid: the spreadsheet view. Listings are rows, checklist items are columns. Select several listings and a column, and flip them in one action.

The five states

  • Incomplete: the starting state.
  • Complete: done.
  • Critical: needs attention right now.
  • Add or replace: there is something there but it will not do.
  • Not applicable: this item does not apply to this property.

Complete and Not applicable both count toward the percentage, so a listing with no HOA is not punished for a missing HOA addendum. A single Critical item raises a red flag on the listing card on top of the percentage, so urgent is never mistaken for merely unfinished.

Two items fill themselves in

  • Professional photos turns Complete once the listing has five or more photos.
  • Social Media campaign turns Complete once the listing has a campaign running.

You cannot set those two by hand, and a bulk flip skips them. They follow the listing, so they also turn back if the thing they measure goes away.

Sharing with an auditor

An admin can mint a read-only link for a listing, from the Auditor reports sub-tab on that listing or from the portfolio page. Anyone with the link can see the checklist and nothing else. Rotating a link stops the old one working immediately.

Needs attention on my Listings screen says something different. Is that compliance?

No, that is a separate check. It ranks your listings on photo count, description, price and how long they have sat, and tells you the worst ones first. It opens collapsed: expand it for the top five, or open the full list. If the check could not run it says so rather than telling you everything is fine.

My listing is 100 percent but a document is still missing.

Check whether it is marked Not applicable. That counts as done. Flip it back to Incomplete if it really does apply.

I cannot edit the columns.

Adding, renaming and archiving checklist items changes them for every listing in the brokerage, so it is an admin action. Any seat can see the rollups.
