Contacts and Pipeline: what is the difference?

Contacts is every human your brokerage knows. Pipeline is the subset you are actively selling to. Same people, two jobs.

Two kinds of record, one list

  • A lead is someone in your sales pipeline. They carry a temperature score, a stage, and a source. Leads are what Pipeline shows.
  • A Sphere person is someone you know: a past client, a friend, a referral source. They carry warmth and a relationship tier, not a score.
  • Contacts shows both in one list, and marks each row Lead, Sphere, or Lead + Sphere.

Lead + Sphere means one person, not two. When you promote a Sphere person to a lead, REHL links the two records and shows them as a single contact, so your past client does not appear twice.

Adding someone by hand

  1. Press Add contact.
  2. Type their name, and an email or a phone (at least one is required).
  3. Leave Add to Sphere off to create a pipeline lead. Turn it on to create a Sphere person, which needs a name.
  4. Save. If they already exist, REHL tells you so and takes you to the record it found instead of creating a duplicate.

A hand-typed contact shows up under their NAME, not their email address. The email only appears as the label when nobody has given the person a name yet. Search covers name, email and phone, and the phone match ignores formatting, so typing the digits finds them however the number was stored.

Typing someone in is not consent. A contact you added by hand has no consent record, so automated sending stays blocked for them until real consent exists. Nothing is sent when you press Save.

Why can I see fewer contacts than my colleague?

Your brokerage's lead visibility setting can limit which LEADS you see, and this list respects it. It does not limit the Sphere: the brokerage's book of people you know stays visible to everyone.

Where did an archived contact go?

Archiving hides the contact from Contacts and Pipeline without deleting anything, but there is no archived view or restore button for Contacts yet. Treat it as final: getting one back today means asking REHL support to reverse it directly, not a self-service undo.

How do I filter it?

By kind (lead, Sphere, or both) and by temperature band. Search and those filters compose in the address bar, so a filtered view is a shareable link. Pipeline stage, lead source and tags are shown as columns on each row, but there is no control on this screen to filter by them yet.
